Professional Email Setup in the UAE 2026: Free Gmail vs Domain Mail vs Workspace

A UAE company sends its first serious emails within days of incorporation — to a bank, a landlord, a supplier, a government portal — and the address it sends from is read as a signal. A personal Gmail or Hotmail address says one of three things to a careful reader: the company is new, the company is informal, or the company is not really operating. A mailbox on your own domain ([email protected]) says none of them, and unlike almost every other credibility purchase, it costs very little. The trap is that "set up email" sounds like a ten-minute task and is actually a small systems project: domain records, mailbox provisioning, and authentication settings that determine whether your mail lands in inboxes or in junk. Disclosure as usual: Sijil sets up professional email as a service, and the figures quoted here are from our published service list; everything else is technical explanation, not market data.

There are three workable setups, and each has a real cost profile. Free consumer mail (Gmail, Hotmail): zero cash cost, fine for a solo founder testing an idea — but the sender identity is the platform's, not your company's, and the credibility ceiling is low. Domain email on your own hosting: your name on your domain at modest cost, workable for small teams — the trade-off is that storage, calendar and mobile sync are basic, and administration falls on whoever built the website. Google Workspace and Microsoft 365: mailboxes on your domain with the full productivity suite — calendar, storage, document collaboration — billed per user per month (confirm current per-user pricing with the provider; we do not quote it). The honest guidance: the jump from free consumer mail to any domain-based mail is the big credibility step; the choice between self-hosted and Workspace-grade is a productivity and administration decision, not a credibility one. Note that many UAE government and banking portals simply expect a corporate domain when you register correspondence addresses — a personal address can slow onboarding that has nothing to do with email itself. See also our bank account guide for how presentation affects account onboarding.

The second half of email setup is invisible until it costs you a deal. Receiving servers decide whether your message is really from you, using three DNS records: SPF says which servers may send for your domain; DKIM cryptographically signs each message so tampering is detectable; DMARC tells receivers what to do when SPF or DKIM fail, and gives you reporting on who is sending as you. Get these wrong — or never set them at all, which is the default — and three things follow: your mail quietly lands in junk folders, spoofed mail pretending to be your company has an easier time, and corporate recipients with strict filters never see your message and never tell you. None of this is exotic; it is an afternoon of correct configuration — but it has to be done on the domain, by someone who knows which records to touch. It is also worth knowing that brand-new domains have no sending reputation: warm them up with normal, wanted mail rather than blasting a launch announcement to a purchased list on day one. For the obligations that arrive by email once the company runs — licence renewal notices, tax deadlines — see our licence renewal guide and the FTA portal guide.

A professional email setup, done properly, has four steps: choose and register the domain if you do not own one; provision the mailboxes your team needs; configure the DNS records — MX to route mail, SPF, DKIM and DMARC to authenticate it; and set up spam protection and baseline security so the mailbox you just built does not become a liability. Our professional email infrastructure service covers exactly this: mailbox setup on your domain, DNS and deliverability configuration, and spam protection, from AED 800 for the setup — with the mailbox costs themselves passed through at provider price, not marked up, because they depend on how many users you have and which provider you choose. Delivery takes two to five days. The honest boundary of this service: we configure and hand over; we do not pretend email is a one-time purchase, since mailbox subscriptions and domain renewals recur — we say so in writing. If your company does not exist yet, sequence matters: incorporate first, then domain, then mailboxes — the formation guide covers step one.

Email is where obligations arrive; the failure mode of UAE companies is letting them sit there unread. Once your mailboxes are on your domain — via our professional email infrastructure service, from AED 800 with provider costs passed through — the next step is making sure the deadlines that arrive by email actually get acted on. Sijil's client portal is the other half of that system: licence and establishment-card expiry, visa dates, VAT quarters and the corporate-tax return tracked as dated obligations with a health score, instead of depending on someone noticing an email in time. Configure both once, and the company's paperwork runs on rails. The team scopes email setups directly on WhatsApp — bring your domain (or say you need one), your user count and your preferred provider, and the configuration is usually done within the week.
